When you need to recreate regular invoices with the same information over and over again, it is best to use templates.

With templates you can pull in various data variables used in Skylight in to a customisable format. For instance, a template that generates a booking form, customized quotation, delivery details.

Create a New Accounting Template

To create a new template, simply go to the new drop-down menu on the right of your page, hover over 'Accounts' (1), then 'Templates' (2) section and select “Add”(4).

Templates work with various elements available to us. To enable an element and edit it, simply drag and drop sections from the left (1) into main drop area (2).

The available elements include Rich Text Editor, File, Image and Grid elements to customize layouts and structure of your template.

Rich Text Editor

Rich Text Editor in Skylight is truly a powerful way of customizing your accounting templates for invoices or quotes. Text Editor uses short codes to replace content dynamically when templates are applied to an invoice or a quote.

The Rich Text Editor with field insertion allows you to write any text as you would in a document but use actual fields to replace client name, project start or end dates and much much more. This data is populated from Project so these templates only work when sending data to an invoice from let's say the Time section.

How Rich Text Editor Works

Enter and format text as needed and for dynamic field replacement for field names like client, reference, project etc. in the right hand panel (1) and drop them onto the drop field block (2). Content will update in the text area (3) with a short code.

You can add multiple text, image and file elements but only one grid element which represents the actual invoice/quote/PO when applied to those modules.

You can also drag and drop blocks to reorganize them or to change their order.

You can upload images and files; in some cases, users need to add terms and conditions documents files i.e. designs, mock-ups etc. this is what files & images are for.

Then we have the Grid. You should always have this enabled or you won't get your line items in the invoice; this is the only way to do that.

Here is a video that illustrates the process of sending billable or budgeted time to an invoice or a quote:
